Upload and organise files in the media library

Upload images, video and audio, keep them in folders, and pick them from any form in the Studio.

Every image, video and audio file you use lives in one place: Studio → Library → Media Library. The same library opens whenever a form asks for a file, such as a poster, a banner, a headshot or an ad video. Anyone who uploads or tidies files needs media library access on their role.

Upload files

    Open the library

    Go to Studio → Library → Media Library.

    Choose a folder

    Open the folder the file belongs in, or create one first with the new-folder action. A folder per season or per show keeps things findable.

    Upload

    Drag files onto the library or use the upload action. A progress box in the corner shows how far each upload has got.

    Wait for the finish

    When “Upload complete.” appears, the file is ready. Images take a moment longer while they’re compressed.

Name files the safe way

  • File names may only use letters, numbers, dots, dashes and underscores. No spaces.
  • Folder names may only use letters, numbers, dashes and underscores. No spaces or dots.
  • Rename before you upload if a file is called something like “Final Cut (2).mp4”, or the library will refuse it.
  • If you rename a file and forget its extension, the library adds the original extension back for you.

Organise what’s there

  • Search by file name from the library’s search box.
  • Sort by Name, Date modified or Size, ascending or descending.
  • Select a file to see its preview in the side panel, including video playback.
  • Rename, copy, move or delete from a file’s menu. Moving and copying large videos shows progress until it’s done.

Pick a file from any form

    Open the picker

    On a form, click PICK beside the slot, for example Poster (square) on an event. The Pick media window opens on the library.

    Choose or upload

    Double-click a file to pick it, or use Upload new to add one without leaving the form.

  3. 3
    Replace or remove later

    Once a slot has a file, it shows REPLACE to swap it and Remove to clear it. Save the form to keep the change.
